A planning aid, not a benchmark or a compliance assessment.

How it works

Three steps, about five minutes.

01 Pull a sample

Use your last 10 inquiries, or all of them if you have fewer. Include after-hours inquiries and the ones that did not work out.

02 Answer nine checks

2 means consistently in place, 1 partly, 0 absent. Choose Unknown when you cannot verify it from the sample.

03 Get three priorities

Each priority comes with a suggested action. Give it an owner and a date this week, then take the check again.

The scorecard

Nine checks for the work between a new inquiry and a signed retainer. Answer from what your team can verify today.

Use the last 10 inquiries, or all of them if you have fewer. Include after-hours inquiries and unsuccessful outcomes. This is a quick spot-check; it cannot establish a reliable conversion rate.

How to answer

2 = consistently in place, with evidence in your sample. 1 = partly in place or inconsistent. 0 = absent or not working. Choose “Unknown” when you cannot verify it.

See the scoring and priority rules

Your checklist score is the sum of nine answers, up to 18. Unknown earns zero evidence points and is counted separately. The score measures checklist coverage, not compliance, firm quality or expected revenue.

Priority points = (2 minus answer) × weight. Unknown uses zero for ranking and produces a verification action. Owner/next action, urgent review and stop rules carry weight 3; weekly review carries weight 1; all other checks carry weight 2. These are editorial priorities, not validated risk weights. Ties follow the question order. If everything is in place, the three priorities become maintenance checks.

Weights appear beside each question. An active urgent inquiry or unwanted message needs attention immediately, even if another item ranks higher.

Make the three priorities real

Give each action an owner and a date this week. Repeat the check with a fresh sample after the changes. Use the employment follow-up kit for the three common stalled stages.
